Why a weekly admin window matters
The bits between sessions are not extra work. They are the work. The coaches who stay calm over a long career almost always run their admin in fixed windows, not in the background of the rest of life.
An hour a week, broken into smaller pieces, is enough to hold a roster of twenty to thirty clients without anything slipping. Without that hour, the same roster slowly starts to feel like too much, even when nothing has changed on court.

The Sunday twenty
Twenty minutes on a Sunday afternoon or evening. The week ahead, brought into focus.
Read the week
Who is coming, in which order, where. Any clashes, any travel, any prep that needs to happen before Tuesday.
Open each client you will see
Glance at the last session note. Notice what you said you would come back to. You will walk in already thinking about them.
Reply to the weekend messages
The ones that came in on Saturday and Sunday. A short, calm reply now is worth a long apology on Tuesday.
Check the gaps
Which slots are empty this week. Whether any regular has not been booked in for a fortnight. Whether anyone on the waiting list could fill a one-off slot.

After each session, two minutes
Before you start the next thing. From the car, the bench, the corridor, the bus. Log what you covered, what to come back to next time, and the rate. Mark the session paid if it is paid. A voice note works just as well as typing.
This is the single most important habit in a solo practice. The note written in the two minutes after a session is honest. The note written three days later is a guess.

The Friday ten
Ten minutes at the end of the week. Money and loops.
Send payment requests for the week
For everyone who is on per-session pricing or whose block has just ended. One sweep, not seven scattered.
Look at what is outstanding
Anyone over two weeks late gets a calm, short reminder. Anyone over four weeks late gets a real conversation.
Close one loop
One client who was promised a summary, an article, a link, a recommendation. Send it before the weekend.
Look at the renewals
Anyone whose block is running out in the next two weeks. A short note, not a sales pitch, naming the next block.

The mid-week noticing
Not a task. A habit. Once between Tuesday and Thursday, open the app and notice the things you would otherwise miss.
Who has gone unusually quiet
A regular who has not been on the schedule for ten or fourteen days. A short, warm message before the silence becomes a pattern.
Whose package is nearly done
A heads-up two sessions out, not a scramble at the last one.
Whose summary is overdue
Anyone who has had four or five sessions since their last summary. A good moment to send one.

Where the checklist lives
A checklist on a piece of paper works for a week and then disappears under the next one. The shape of the week needs to live somewhere it shows up without being looked for.

What to drop when the week runs short
Some weeks the hour is not there. School holidays, travel, illness, the run-up to a tournament. When the week is short, drop in this order.
